Purpose of Role

Role Definition
Facility Manager is responsible for developing and ensuring that the physical infrastructure as well as services within that infrastructure meets each and every need of every stakeholder who uses it. Facility manager is responsible for such services like civil, plumbing, electrical, carpentry, landscaping, housekeeping, water treatment, laundry and ensuring that the surrounding environment is suitable for staff students and the parent of the school.

  • Cost Control with Budgeting and Financial Planning on Maintenance in the allocated                 departments (Civil, electrical, plumbing, landscape, carpentry and housekeeping)

Tasks & Activities
  • Ensure cordial relations with the Academic and Admin teams and make sure requirements  raised by them are completed within the given time frame. Make sure all the requirements are raised through help desk.
  • Maintain the campus’s overall image and ensure high quality of maintenance work on par with the expectations of the management and the brand value of the school.
  • Bring coordination between facility departments and there by better service to the school.
  • Introduce systems and automate the areas in resource department wherever possible for better service, monitoring and accountability.
  • Planning and maintaining the required manpower in discussion with head of resource management and monitor their work.
  • Ensure a fair and transparent system of operations and avoid any scope of financial mismanagement and commissions.
  • Managing the materials, costs, bills, records pertaining to repair, maintenance & replacement of assets. Ensure the budget allocation is not crossed at anytime by checking with the head of resources.
  • Analyze the usage of consumables every month, create monitoring mechanisms and checkpoints and records to track the use of resources
  • Standardize the expenses for regular maintenance work and always look out for opportunity to reduce the cost and wastage of resources without compromising on standards. Carry out routine checks and preventive maintenance every week to reduce the bulk spending during year end.
  • Event Coordination – Actively participate in the meetings regarding any event and ensure all requirements pertaining to the event is arranged, organized and the smallest of the need is met.
  • Hold regular internal meetings to assess the progress of each work and ensure smooth functioning of the regular activities.
  • Maintain cordial relationships with local government bodies like Panchayat offices, Police Stations, Fire Department, Health and Sanitation Departments and Electricity board.
  • Prepare an annual maintenance plan covering all areas of facilities in February/March. This is required in order to plan the expenses and reallocate resources based on need.
  • Maintain the safety standards, monitor and adhere to the rules and requirements laid forward by the Government bodies wherever necessary, especially in terms of Sanitation and Electricity board.
  • Identifying standardized vendors or service providers for each job and suggest it to the purchase department. Processing all purchases and payments through purchase department
  • Ensure water level management software is updated, checked on daily consumptions and devise strategies to prevent and reduce wastage.
  • Scrap disposal amount and details need to be maintained in a separate register and handed over to head of resources for onward forwarding to accounts department.
  • Monitor Key management and make sure all the keys are kept back to the security before 8.30 pm everyday unless permission is sought for from Principals by email in Erode campus and 6pm in other campuses including KG.
  • Identifying accommodation for staffs based on request from Head of HR and coordination of purchases with support of purchase department and head of resources within the timeline of staff joining.
  • Inspection of staff accommodation once every 3 months and ensure it is properly maintained or levy a fine by mentioning HR department. In case of maintenance, damages or repairs related to poor management, inform HR on actual expenses and request to deduct the same from following month salary. Maintain the records in the damages/repair template available in the file for each accommodation available along with accommodation request form.
  • While staff vacating the quarters or accommodation provided by school, inspect the maintenance cost and inform HR on recovery through the accommodation request form.
  • Laundry management of boarders and staff staying inside as per policy.
  • Sign the No due for staffs
Key Performance Indicators (KPIs)
  • Working to ensure that the spend is below the budget allocated
  • Campus and building cleanliness (as per report from head of resources)
  • Immediate rectification of important maintenance issues rather than compiling for year-end (Help desk report submission with photo evidence of work completion and timeline of the completion)
  • Training of housekeeping personnel on their work
  • Maintenance register of Electrical and RO equipment (Genset, UPS, Transformer, AC’s, ETP’s and ROs) – Date, Equipment with model number/Capacity, Date of Purchase, Date of Maintenance, Spares Serviced, Spares Changed, Cost, signature of facility manager). Get it signed by Head of Resource once every month.
